Position Description
We are looking for a Operations & Content Assistant to help facilitate our student and client pipelines, ensuring a seamless and supportive experience for both audiences. This role will contribute to sales, engagement, and content management efforts across our courses and client services.
- Strengthen Communication and Sales Efforts: You’ll play a key role in promoting our courses and consulting services by maintaining a strong, supportive presence in client and student communications, proactively assisting with sales and engagement strategies, and contributing to a seamless onboarding process for both clients and students.
- Engage Prospective Clients and Students: Support the growth of Krista Kurlinkus, LLC by engaging with prospective clients and students, answering inquiries with a consultative approach, and guiding them through initial steps in their learning or service journey.
- Implement Lead Nurturing: Assist in nurturing relationships with potential clients and students by implementing lead follow-up strategies, sharing relevant content from our blog, newsletter, and social media, and communicating the unique benefits of our programs and services.
Responsibilities
Approximately 75% of your time will be spent assisting our CEO with the management of our courses and digital offers:
- Answer student and prospective student questions via HelpScout and Krista’s email every weekday, Monday through Friday.
- Make minor edits in QuickTime to videos (e.g., trimming beginning and end) and upload to Mighty Networks (6+ times per month).
- Respond to and initiate requests for speaking opportunities at conferences, podcasts, etc.
- Manage booking for trips, speaking engagements, and other events.
- Create Unit and Lesson containers on Mighty Networks for new uploads and course content.
- Organize and upload resources to course content on Mighty Networks.
- Maintain our blog, newsletter, and YouTube schedule per our content calendar.
- Upload pre-filmed videos to YouTube with relevant information and settings.
- Publish pre-written blog posts on WordPress, applying SEO per company guidelines.
- Write and publish newsletters and course announcements on ConvertKit.
- Update sales information on public sites using WordPress and LeadPages.
- Share news and information with students via social media, newsletter, and course platform.
- Coordinate with our Social Media Manager on upcoming events, offers, and news.
Approximately 25% of your time will support our CEO with client services, sales, and relationship management (grant writing not included):
- Answer client and prospective client questions via HelpScout and Krista’s email every weekday, Monday through Friday.
- Manage the prospective client pipeline on Dubsado from start to finish.
- Evaluate Dubsado’s Discovery Call questionnaires per our guidelines and invite qualified clients to discovery calls with Krista.
- Use Dubsado templates to create projects, proposals, invoices, contracts, retainers, kickoff calls, etc.
- Use Dubsado workflows to move clients through the pipeline.
- Resolve questions and implement solutions.
- Use templates and Google Drive to create other client onboarding and management materials.
- Attend weekly team meetings, document action items for Krista in ClickUp, and assign them with due dates.
Position Goals and Growth Potential
This role is a growth-oriented position with potential to expand into areas such as customer success management, digital marketing, or sales strategy for high-impact nonprofit and educational services. Your efforts will be directly tied to our mission of democratizing access to high-quality grant education and consulting support, helping our clients and students achieve meaningful, fundable change.
Salary and Benefits
- This is a remote contract position, but we prefer someone in the Chicago or Northern Illinois area (U.S.-based contractor required).
- Approximately 10-15 hours per week with the opportunity to increase hours and/or transition to a W-2 employee.
- Hourly rate is $35.
- Our Business Hours: 8–4 pm CT, Monday–Friday.
- Some travel may be required for in-person student events.
Education
Required Skills and Experience
- Dependability and Initiative: Perform duties reliably and with minimal supervision.
- Proficiency in Sales and Client Engagement: Prior experience in sales or consultative roles, especially in guiding customers or clients toward valuable resources or services.
- Content Management Skills: Strong content management abilities, including maintaining content calendars, publishing schedules, and utilizing SEO best practices.
- Online Course and Membership Platform Experience: Familiarity with platforms like Mighty Networks, Dubsado, ConvertKit, and QuickTime.
- Communication Skills: Clear, kind, and solution-oriented communication with customers in emails, social media, online chat, and Zoom.
- Adaptability: Ability to use multiple computer applications simultaneously.
- Knowledge of Social Justice Issues: Awareness of current events and sensitivity to social and racial justice language.
- Organizational Skills: Advanced skills in managing multiple systems, platforms, and processes.
- Customer Relations: Friendly, professional tone in interactions, active listening, and forward-thinking to anticipate and resolve potential issues.
