Job Description
- Prepare and send client onboarding materials and document requests.
- Find grant opportunities, using a variety of grant databases, such as Instrumentl and Grants.gov and our rubric. Initial evaluations will be conducted by the Grant Writing Associate. Then you the Grant Writing Assistant will do data entry for further analysis by Associate.
- Conduct research for grant proposals. Cite sources according to our format.
- Using Notion to create a Grant Hub for each client, using our structure.
- Use AI to analyze and prepare summaries of RFPs, using our template. Then review and confirm for accuracy.
- Use AI to assist in revising and editing writing.
- Conduct independent revisions and editing without AI.
- Read entire grant proposals, including budgets and attachments to check for accuracy and to ensure application requirements have been met.
- Maintain Grant Hub on Notion and update as information changes.
- Enter grant applications into online submission portals or compile grant submission materials for email or mail-in submission.
- Support Grant Writing Associates well by maintaining clear communication and timelines, problem solving, and anticipating roadblocks.
- Follow our standard operating procedures for all tasks.
Location
Remote. Computer and reliable internet access is required.
Salary and Benefits
This is a 1099-contract position. Contractor must file their own taxes.
Contracts will be for a percentage of client project rates or hourly rates.
Education & Experience
B.A. required.
At least 2 years of full-time experience in writing, editing, or project management is required.
Responsibilities, Skills, and Experience
- Perform duties dependably, reliably, and with minimal supervision.
- Pay attention to detail. This is the most important skill for this position as we need a second set of eyes to make sure we don't miss anything.
- Use Notion to track task deadlines, update team on progress, and communicate needs. This is a support position, so if work is not completed on deadline or if we can't check on the status of a project at any given time, the role is not effective.
- Use Notion to track time for client projects. This is extremely important for billing and must be done consistently.
- Interact positively with clients and staff. Client interaction will be minimal, but may be necessary for helping the grant writing associate with information collection and approvals.
- Communicate clearly in emails and meetings.
- Use a friendly and professional tone while speaking with clients by email and Zoom.
- Follow company policies and procedures for creating positive client interactions.
- Think ahead to anticipate roadblocks and other issues that may arise with client projects and interactions.
- Maintain awareness of current events and sensitivity to language around social and racial justice.
